The visa sections at the Danish embassy in Beijing and the consulate generals in Shanghai and Guangzhou make a great effort to process all visa application in time. The visa processing time is normally 3-5 working days. However, it occasionally happens that the visa application process for different reasons is delayed. The most common explanation is insufficient applications, where some of the required documentation is missing.

It is important that the applicant submits the required documentation in time, and that the host provides an invitation letter with sufficient information. In cases where the visa application process is delayed, the visa sections are often contacted by uncomprehending applicants and hosts, who want to know when the visa will be issued. In most cases there is a good explanation why the visa is not issued yet.

The most common reasons why the visa process is delayed:

  • The applicant is waiting for his passport to be issued. Many Chinese citizens have not travelled outside China.
  • The application has not yet been submitted to the visa section: Applicants with official passports are according to Chinese law obliged to send their application to the Foreign Affairs Office (FAO) of the workplace. Not until the FAO of the workplace has processed the application, it will be send to the visa section at the Embassy or the consulate generals. In most cases the applicants are not informed about this.
  • The visa is in fact issued. The applicants have been informed that they according to Schengen rules have to submit plane ticket and insurance, but the visa section is still waiting for the documentation. See the required documentation here.
  • The visa is issued and the applicants have been informed, but the applicants still have not picked up their passports.
  • The applicants have submitted their application, but the documentation needs to be verified by the relevant Chinese authorities. This can be information about companies, personal relations and the like.
  • Unfortunately there are extensive attempts to get a visa to Schengen countries based on fake information. Danish companies often do not have the ability to check if their contact person works for the company in China. Thus the Danish embassy and the consulate generals routinely check the applicant’s documentation.
E.g. by checking if the company is officially registered and if the applicant works for the company or not. In cases where there is considerable doubt that the documentation is genuine, the Danish Embassy and the Danish Consulate Generals conduct field trips to check the validity of the application.
